Kent Scouts has an exciting opportunity for someone to join the team as an Administrator, based at our County Office in Sandling, Maidstone.


Working Hours: 40 hours per week. Weekend and evening work required on occasions.

Salary: £25,400 - £28,000

Location: Maidstone, Kent

Reports to: Office & Finance Manager, Kent Scouts

Contract: Permanent

Key Responsibilities

Main duties include:

    • Supporting the business by providing accurate and timely administration;
    • Dealing with correspondence, complaints, and queries;
    • Answering telephone, greeting visitors and dealing with enquiries;
    • Ordering supplies and processing orders;
    • Checking and submitting adult award applications to Scout HQ;
    • All associated admin relating to awards, ie congratulatory letters, arranging engraving of medals and sending out to Lead Volunteers for presentation;
    • Processing youth badge order requests and order replenishment;
    • Processing Duke of Edinburgh registrations and approvals;
    • Processing King’s Scout Award completion logs;
    • Census administration and preparing growth certificates;
    • Processing DBS applications for staff and volunteers;
    • General administrative tasks, including communications, such as memos, emails, reports, presentations, and other correspondence;
    • Maintaining internal databases;
    • Supporting the County Lead Volunteer and County Chair;
    • Supporting the Office & Finance Manager;
    • Supporting the Business Development Lead with bookings and admin;
    • Liaising with District Lead Volunteers for events where County representation is required;
    • Sorting and distributing incoming post and organising and sending outgoing post;
    • Supporting volunteers with enquiries and requests;
    • Arranging Kent Scouts AGM and Kent Scouts Awards Celebration Day;
    • Attend Kent Show supporting volunteers on the Kent Scouts stand;
    • Assisting in set-up and clear-down of meeting rooms;
    • Attending pre-arranged meetings, as and when required;
    • Dealing with all work in a discreet and confidential manner.
    • Handling financial accounting administrative tasks through Sage software.
    • You may be asked to undertake additional tasks by the County Leadership Team.

Person Specification

Essential:

    • Good computer skills, ie Microsoft Word, Outlook and Excel;
    • Experience of Sage accounting software;
    • Excellent telephone manner;
    • Ability to learn new skills quickly and efficiently prioritise and organise work;
    • Friendly, pro-active and hard-working team member;
    • Minimum two years’ experience in a similar role;
    • Experience in finance would be desirable.

    • Undertake any other duties as may be reasonably requested by Lower Grange Farm Management that ensure the ongoing operational success of the centre and delivery of excellent customer experiences;
